Privacy policy

Effective July 30, 2026

This policy explains how ROI Strategic Marketing handles information in ROISM Contacts, including information an authorized user chooses to connect from Google.

Information we process

  • Account identity and workspace membership information needed to control access.
  • Client, job, task, document, communication, invoice, and payment records entered into the CRM.
  • When a user connects Gmail, message content, headers, participants, timestamps, thread identifiers, attachments, send-as identities, and delivery or open-event metadata available under the permissions the user grants.
  • Limited operational and security logs needed to run, protect, and troubleshoot the service.

How we use information

We use this information to provide a unified client history, associate communications and files with the correct CRM records, support user-requested email sending, provide search and authorized AI-assisted analysis, maintain auditability, and secure and improve the service.

Google user data

ROISM Contacts requests Gmail read-only access to synchronize messages and attachments and Gmail send access to send messages that an authorized user deliberately composes and submits. Google user data is not used for advertising, sold, or transferred to data brokers.

ROISM Contacts' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Sharing and service providers

Information is available to authorized members of the applicable CRM workspace. We may use infrastructure, storage, email, security, and AI service providers only as needed to provide the requested functionality and subject to appropriate access controls. We may disclose information when required by law or necessary to protect users, the service, or others.

Retention and deletion

CRM records are retained according to workspace and legal requirements. Disconnecting Gmail stops new synchronization but does not automatically erase records already filed into the CRM. An authorized workspace administrator may request deletion or apply a legal hold where required. A user may also revoke Google access at any time from their Google Account permissions.

Security

We use access controls, encrypted transport, protected credentials, audit records, and operational safeguards designed to reduce unauthorized access. No system can guarantee absolute security.
